Teamspace is where you can invite and manage team members, handle subscriptions, control data privacy settings, and collaborate seamlessly. Teamspace makes it easy for all members of your organization to collaborate with each other and share their work without worrying about billing or administrative tasks.
As a Teamspace admin, one has complete control over member management, permissions, and settings, while team members can focus on creating and collaborating.
Creating Your Teamspace 👨💼
Creating a Teamspace is simple and takes just a few steps:
Access Teamspace Creation: Click on the profile section in the top right corner and select "Account Settings" to open the settings.
Convert to Teamspace: In the settings, you'll see the option to "Convert to Teamspace." Click on it to begin the setup process.
Set Up Your Teamspace
Enter your Teamspace name
Upload a logo (optional)
Click "Switch to Teamspace" to create your Teamspace
Invite Members (Optional): You can invite members immediately during setup or skip this step and add them later.
Once your Teamspace is created, you can access it by clicking on the profile section again, where you'll now see the "Teamspace" option in the menu.
Managing Members 👨💻
You can manage all your Teamspace membership through the Members tab in the Teamspace menu.
Inviting Members 🧧
There are two ways to invite members to your Teamspace:
📧 Via Email
Type the email address of the person you want to invite.
Click the "Invite" button to send the invitation.
The invitee will receive an email with your invitation link.
Once they join, you'll be notified via email.
This method is ideal when you want to invite a limited number of people with individual invitations.
🔗 Via Invitation Link
Copy the invitation link from the members tab in your Teamspace settings.
Share the link with multiple people at once.
Anyone with the link can join your Teamspace.
You'll be notified via email when new members join.
This method saves time when inviting multiple people to your Teamspace.
📌 Note:
Anyone with the link can join your Teamspace, so keep it secure and don't share links in public forums.
If the link is compromised, you can deactivate it and generate a new one by clicking on the “Generate New Link”.
Revoking Invitations ⏎
If you need to cancel an invitation:
Go to the "Invitations" section in your Members tab.
Find the invitation you want to revoke.
Click "Revoke" to disable the invitation link.
📌 Note:
Revoking only works for invitations that haven't been accepted yet.
Removing Members ✔️
To remove a member from your Teamspace:
Go to the "Members" tab.
Find the member in the active members list.
Click on their role to see the "Remove Member" option.
Confirm the removal.
What Happens When You Remove a Member:
The removed member will lose access to all Teamspace materials immediately.
All work created by the removed member remains in the Teamspace.
The admin becomes the new owner of the removed member's Napkins.
The removed member can no longer access or edit their previous work in the Teamspace.
📌 Admin Permissions:
Admins can remove other admins and regular members.
Regular members cannot remove other members.
Only admins have permission to manage invitations and member roles.
Changing Member Roles 👨💼
As an admin, you can change member roles between "Admin" and "Member":
Go to the Members tab.
Click on the member's current role.
Select the new role (Admin or Member).
📌 Note:
Admin privileges include managing Teamspace settings (name, logo, sharing settings, data privacy), so only grant admin access to trusted team members.
If you're on a paid plan, each new member added to your Teamspace will add an additional seat to your current plan and increase your subscription cost.
Subscription Management 🤝
Teamspace admins can manage the subscription for their entire Teamspace. To access subscription management:
Open the Teamspace menu from the profile section.
You'll automatically land on the "Subscription & Billing" tab.
From here, you can manage all subscription-related activities.
What You Can Manage
As a Teamspace admin, you can:
Upgrade, downgrade, or cancel your Teamspace subscription.
Download invoices and manage billing information.
Update payment methods and billing addresses.

Teamspace Settings ⚙️
Admins can manage various Teamspace settings including the name, logo, sharing permissions, and data privacy settings. To access settings:
Open the Teamspace menu from the profile section.
Click on the "Settings" tab.
Make your desired changes in the available sections.
📌 Note:
Only admins have access to Teamspace settings. Regular members can view the Settings tab but cannot make changes.
Changing Teamspace Name and Logo
To Change the Name:
Click on the existing Teamspace name field in the Teamspace settings.
Type the new name.
Click "Save" to update the name.
To Change the Logo:
Click on the current Teamspace logo in the Teamspace settings.
Upload your new logo file.
The logo will update automatically.
Permissions and Sharing 🔁
Control who can access new Napkins created within your Teamspace by setting default sharing permissions. In the "Permissions & Sharing" section, you can choose from multiple sharing options.
Available Sharing Options:
Napkin Owner Only can view - Only the creator can access their Napkins.
Teamspace members can view - All Teamspace members can view but not edit.
Teamspace members can comment - All Teamspace members can view and add comment.
Teamspace members can edit - All Teamspace members can view, comment and edit.
Teamspace members can edit & share - All Teamspace members have full collaboration access.
Anyone authenticated with the link can view - Anyone who has access to the Napkin link and is signed in can view.
Anyone authenticated with the link can comment - Anyone who has access to the Napkin link and is signed in can view and comment.
Anyone authenticated with the link can edit - Anyone who has access to the Napkin link and is signed in can view, comment and edit.
Anyone authenticated with the link can edit & share - Anyone who has access to the Napkin link and is signed in has full access.
Anyone with the link can view - Completely public access, no need to be signed in.
Choose the option that best fits your team's collaboration needs and security requirements.
Data Privacy
Control how your Teamspace data is used for product improvements and AI model training.
Toggle Setting: Use the "Off/On" toggle to control data usage.
Default Setting: This option is "On" by default.
To Opt Out: Turn the toggle to "Off" to prevent your data from being used for product improvements and AI model training.
📌 Note:
When disabled, your data will not be used for any AI training or product improvement purposes.
Switching Between Teamspaces 🤝
Users can be part of multiple Teamspaces and switching between them is very easy. There are two methods to switch between the Teamspaces:
1️⃣ Via Library Menu
Look for the Teamspace menu on the left side, just above the Library section.
Click on it to see all Teamspaces you're part of.
Select the Teamspace you want to switch to.
2️⃣ Via Teamspace Menu
Open the Teamspace menu from the profile section.
At the top, you'll see your current Teamspace name.
Click on the current Teamspace name to see a dropdown list.
Select the Teamspace you want to switch to.
📌 Note:
The list of Napkins in your Library will reflect the Napkins that are part of your current Teamspace
You can only see this switching option when you're part of multiple Teamspaces
Each Teamspace maintains its own separate Library and member list
